MEETING MINUTES

February 9, 2007

Jeff Bruchey called the meeting to order at 7:05 p.m.

OLD BUSINESS

Minutes from January 12, 2007

The minutes from January 12, 2007 were reviewed. Richard Rosas made a motion to approve the minutes as written. Danny Lewelling seconded the motion. Unanimous approval.

B. Mid-MD Field

One proposal has been submitted. A second proposal will be issued next week. Once the proposals are reviewed and a bid is awarded, Bob Mitchell will submit a work order to begin construction. The field will be designed to be an 80ft diamond and a 90 ft. diamond. The 13/14 year old rec. team will be playing by Pony Baseball rules which mandate using an 80ft diamond.

Dug-Outs

The footers have been dug for the dug-outs with the exception of Field 3. The footer needs to be dug on the third base side but the hill needs to be cut into. Once the rest of the footers have been dug, the construction will begin.

Fundraising – Basket Bingo

All fillers for the baskets have been received and/or purchased. We are still looking for donations. Assistance is needed for advertising. Please see Sheila for fliers. Sheila asked if it would be possible to advertise on the marquee sign at Memorial Park. Sheila will supply the information to Bob Mitchell to have the information posted. WTTR will be contacted to advertise and an ad can be placed in the Carroll County Times for $100-$125. The approximate total cost for the basket bingo is $1700.

Sheila Rosas made a motion to place an ad in the Carroll County Times for the Basket Bingo. Danny Lewelling seconded the motion. Unanimous approval.

E. Registration – Tim Copenhaver

Tim reported the following totals for registrations:

8U Softball – 23

10U Softball – 19

12U Softball – 20

Kelly is hoping to have two teams for 10U and 12U softball.

Shetland – 44 Registrations on hold for right now to see how many managers/coaches are interested.

Pinto – 47 (7-8 more registrations will be accepted)

Mustang – 51 (4 more registrations will be accepted)

Bronco – 40 (At least 3 more registrations will be accepted.)

13/14 – 17

Tournament Teams – A large interest has been expressed in the 16U tournament team. Kelly & Sherri have considered alternatives for players that do not make the tournament team. Once tryouts have been completed a final decision will be presented to the board concerning other alternatives for players who do not make the tournament team.

Non-Profit/Incorporated Status

Jeff reported that the paperwork for Non-Profit has been submitted. We are waiting for confirmation.

Website Feedback

Good feedback was received for the new website. Other links will be opened once the information has been received. Chris Smith will send an e-mail to everyone who will need to submit information. If anyone would like to post onto the message board, submit standings, etc., please contact Chris and he will post the information within one hour. A suggestion was made to add a photo gallery of the players in action. Would a parental waiver need to be signed? Bob Mitchell stated that a waiver does not need to be obtained. If you are out in public there is no expectation of privacy. The parents will be asked if they are against posting pictures of their children. If so, they will be asked to sign a waiver. If a waiver is not submitted, then it will be assumed that the parents are okay with posting the pictures.

Sheila Rosas made a motion to hand out waivers for children’s photographs to be posted on the website. Angie Picket seconded the motion. Unanimous approval.

Clinics

A softball coaches clinic is being held on Friday, March 9, 2007 at the Taneytown Library by John Ballard. A baseball coaching clinic will be arranged through in-house at a later time.

NEW BUSINESS

Financial Report – Brenda Miller

The financial report was distributed for review.

Sherri Lewelling made a motion to approve the financial report as written. Danny Lewelling seconded the motion. Unanimous approval.

B. Field Maintenance – Danny Lewelling

Danny asked if an additional drag will be purchased for the baseball divisions to share. This issue will be tabled until the Mid-MD field decision has been made. A suggestion was made to purchase breakaway bases for the Mid-MD field. Magnetic breakaways are available for purchase. This type of base holds up longer than regular breakaway bases. Pitching rubbers were also discussed since an 80ft and 90ft diamond will be acquired. Brent Greenup will meet with Jeff Engel to purchase the appropriate equipment needed.

C. Pepsi® Pitch, Hit & Run

Mike Stoner was unable to attend the meeting to give an update. It was stated that the registrations will be accepted on a first come first serve basis. Has a decision been made on how the registrations will be distributed? For the Taneytown players, they can be placed in the parent’s folder which will contain apparel forms, fundraiser information, etc.

D. Managers Recommendations

The Division Coordinators met to discuss recommendations for manger positions. The following people were considered for a Managers Position for the Bronco Division:

Scott Gardiner

Dave Crouse

The Division Coordinators are recommending the following people to hold a managers position:

Jim Brown

Dan McMahon

John Rill

Dave Crouse

The four people recommended by the Division Coordinators were confirmed by the Board of Directors.

The following people were considered for a Managers Position for the Mustang Division:

Mike Stoner

Tim Copenhaver

John Gill

D. Houck

Shawn Atanasoff

Danny Lewelling made a motion to approve the recommendations made by the Division Coordinators. Angie Pickett seconded the motion. Majority approval.

Tryouts – Mustang/Bronco Divisions

Tryout details were discussed. Phone calls will be made to registered players to remind them when the tryouts will be held.

Apparel – Sheila Rosas

Sheila offered a sample of the warm-up suits. If 12-23 adult jackets were purchased the cost would be $54.00 and the adult pants would be $26.00. Many companies do not offer youth sizes. A suggestion was made into looking at other companies to see if a cheaper price can be obtained. Sherri Lewelling made a motion to check with other companies for a cheaper price. Brent

Greenup seconded the motion. Majority approval.

A couple other items were presented to sell. Key chains that have the league logo on one side and a player’s picture can be placed on the other side. Drink coozies were also presented. If the price can be lowered, the coozies may be considered for selling.

 

The meeting was adjourned at 8:45 p.m. The next meeting will be held on Friday,

March 9, 2007 at 7:00 p.m. at the Taneytown Senior Center.
